Your cash book shows one balance. Your bank passbook shows another. Both are correct—but they're different. A Bank Reconciliation Statement (BRS) bridges them, explaining every difference so you can verify that your records and the bank's records match.
The cash book records transactions when you initiate them; the passbook records them when the bank processes them. A cheque you write today won't appear in the passbook until the recipient deposits it and it clears. Interest credited by the bank shows up in the passbook before you record it. These timing gaps drive reconciliation differences, and mistakes here ripple through to your final answer.
Outstanding cheques are ones you've written and recorded in your cash book, but the payee hasn't yet deposited or the bank hasn't cleared. Your cash book shows the money gone; your bank passbook still shows it there.
How it happens: Students see a cheque in the cash book and assume it's in the passbook too. It won't be—not until the payee presents it.
How to fix it in your BRS:
If the bank passbook balance exceeds your cash book balance (because the cheque hasn't cleared), subtract outstanding cheques from the passbook balance.
Example:

This matches your cash book.
Uncleared deposits are cheques you've deposited and recorded in your cash book, but the bank hasn't yet credited to your account. Your cash book shows the money in; your passbook doesn't.
How it happens: Students deposit a cheque and record it immediately, forgetting the bank takes 2–3 business days to clear it.
How to fix it in your BRS:
If your cash book balance exceeds the bank passbook balance (because the deposit hasn't cleared), add uncleared deposits to the passbook balance.
Example:

| Uncleared deposits: | Rs. 5,000 |
BRS:
| Bank passbook balance: | 55,000 |

Bank charges are fees the bank deducts. The passbook shows this deduction before you know it exists. Your cash book won't reflect it until you record it.
How it happens: Students see bank charges in the passbook and adjust only the BRS, forgetting that the cash book must be updated too.
How to fix it:

Bank charges shown in passbook: Rs. 500
Journal Entry:
Bank Charges Expense (Dr.) 500
To Bank Account (Cr.) 500
Your cash book balance reduces by Rs. 500. The BRS requires no further adjustment for this item.
Banks credit interest earned on your balance and debit overdraft interest if you're overdrawn. These items appear in the passbook before your books capture them.
How it happens: Students spot these and ignore them, thinking they're "bank business." They're your income or expense, and your books must reflect them.
How to fix it:
Pass journal entries to record interest earned (debit Bank Account, credit Interest Income) and overdraft interest (debit Bank Interest Expense, credit Bank Account). Update your cash book. The passbook will reconcile without separate BRS adjustment.
Example:
Bank passbook shows interest credited: Rs. 200
Bank passbook shows overdraft interest debited: Rs. 50
Journal Entries:
Bank Account (Dr.) 200
To Interest Income (Cr.) 200
Bank Interest Expense (Dr.) 50
To Bank Account (Cr.) 50
Direct credits (salaries, customer payments deposited directly by others) and standing orders (regular payments the bank debits on your behalf) appear in the passbook but your accounting department may not know immediately.
How it happens: Students forget that the passbook is the authority on bank-initiated transactions. If it's there, it's real, even if your internal records haven't caught up.
How to fix it:
Pass a journal entry to record the transaction in your cash book and ledger. This is a cash book update, not a BRS adjustment.
Example:
Passbook shows a standing order debit of Rs. 2,000 (rent payment).
Journal Entry:
Rent Expense (Dr.) 2,000
To Bank Account (Cr.) 2,000
Update your cash book. BRS requires no adjustment for this item.
Both your cash book and the passbook must have correct totals before reconciliation begins. Arithmetic errors here derail every BRS attempt.
How it happens: Students add columns without rechecking, or assume the bank's arithmetic is always correct (it usually is, but verify).
How to fix it:
This step prevents cascading errors.
From the bank's perspective, a credit is money flowing into your account (they're crediting their liability to you). From yours, your bank account is an asset, so money in is a debit.
How it happens: Students read "credit" and think it means less money, or "debit" and think it means more. The bank's language inverts accounting language.
How to fix it:
Remember: Passbook credit = money in = your cash book debit. Passbook debit = money out = your cash book credit. Always verify the passbook balance by reading the narrative column.
A cheque in hand isn't in your bank account. If you've recorded it in your cash book but not yet deposited it, the passbook won't show it.
How it happens: Students record cheques received the same day, even though they won't deposit until later.
How to fix it:
Don't record a cheque in your cash book until it's actually deposited. Or, if you've already recorded it, exclude it from reconciliation; add it back only after deposit.
Alternatively, if you recorded it prematurely:
BRS:
Passbook balance: X
Add: Cheques in hand not yet deposited: Y
Adjusted balance: X + Y = Cash book balance
Each reconciliation difference should appear exactly once. Some students adjust for an item in the BRS and then adjust the cash book, applying the fix twice.
How it happens: Confusion between "BRS-only" adjustments (timing differences that self-correct) and "cash book" adjustments (errors or bank transactions the business didn't know about).
How to fix it:

BRS-only adjustments: Outstanding cheques, uncleared deposits, cheques in hand. These are timing differences. Once the bank clears them, they disappear from reconciliation.
Cash book adjustments: Bank charges, interest, standing orders, direct credits, errors in your own records. These are real transactions your books must capture.
Decision tree:
Scenario: Your cash book shows Rs. 1,00,000. The passbook shows Rs. 1,05,000. You need to reconcile and correct both.

Your reconciled balance now equals your corrected cash book balance. You are reconciled.
